There are a lot of digital faxing solution applications out there. So what makes HIE’s hFax unique? What do we bring to the secure fax solution table? In this blog, we’ll compare our hFax capabilities with another similar product: SRFax. HIE Networks includes a few crucial features that we believe are necessary for any secure fax solution such as: audit trails, advanced OCR, and integration with medical office EMR tools.

In addition, our pricing plans are simple and appropriate for any size organization from a small medical office to a large hospital. SRFax uses a tiered plan which includes at least eight different prices for levels of service based on pages used.

So what can hFax do that SRFax can’t? Here’s a quick list.

Audit Trails

Sometimes you need a way to check on what happened with a fax you’ve sent or received. That’s when you need an audit trail– a set of metadata that is kept on every fax that moves through the system. The result of hFax’s robust audit trail capabilities is a detailed history of who opened a fax to read it, when they did so and what they did with it, in chronological order. It’s an extra step we take to provide a secure environment for every page of information you send or receive. Part of compliance with HIPAA regulations is periodic examination of fax activity that can include dozens of data points like:

  • Inbound fax processing success or failure
  • Secure web portal
  • Fax pages delivered to a digital directory or email inbox
  • Fax opened, saved, or transferred
  • Fax printed
  • Outbound Fax queued by username

SRFax doesn’t have the audit trail capability that hFax does, which could prove to be extremely important for medical information that needs to stay secure in a system that is open to routine checks for compliance to HIPAA rules.

A secure fax solution with advanced OCR

Optical Character Recognition (OCR) refers to hFax’s magical ability to take any text from a photo, a scanned document or PDF file and derive editable text from it. In other words, when you use a scanner or take a photo of a hard paper copy and store it in your computer you usually aren’t able to do anything with the text other than read it. OCR “reads” the document, recognizes the text and renders it in a new searchable and editable form as if you typed it in yourself.

No more re-typing information. Data entry is easier and faster, especially since you can search for specific words or phrases in the imported and OCR-ed document rather than skimming through all the pages looking for what you want. In many cases, a good OCR program can read handwritten notes if they are reasonably legible.

Integration with medical office EMR tools

Electronic Medical Records and Electronic Health Records are now standard among healthcare providers. Gone are the days of hundreds of paper file folders and good riddance! Now sharing records with specialists and other caregivers is easy and fast; with the click of a button and some HIPAA safeguards a medical office can transmit a patient’s information to any other treating party that needs access.

Even as we reach the conclusion of the transition period for converting paper to digital formats, there are still a few documents that begin life on a piece of paper, and of course faxing is still a great way to communicate data. The question is how well your paper-handling systems mesh with your electronic record keeping. hfax comes with robust plug-in abilities for almost any EMR system and will integrate a secure fax solution seamlessly with your setup.

Faxing doesn’t have to exist as a less-preferred way of communicating when it’s integrated with your digital record keeping routines. Use both! Our customers always ask about how well hFax “talks to” their EMR platform and we are happy to inform them that their HIE screen dashboard makes it easy to combine both paper faxing with completely digital records.

In addition to our secure fax solution, hFax, HIE offers hMessage care coordination for referrals, hConnect clinical data exchange for entry, storage and retrieval of medical records and hImage for handling medical images.
